Terms and Conditions
Party supplies/equipment Hire agreement
1. Definitions
This Hire Agreement (“Hire Agreement”) forms part of our main Terms and Conditions document and is negotiated by My Party in a Box (‘The Event Company’) and the Client (“Client“). A booking (“Booking”) is any verbal, electronic or written request securing entertainment/event planning/catering and styling for a specific date from the Client to The Event Company.
2. Confirming the Booking
i) ‘Confirmation’ (“Confirmation”) will mean any verbal, electronic or written acceptance of this booking by BOTH the Client and The Event Company.
ii) If the Booking is not confirmed with the required details of the event and full payment, the Booking will automatically be cancelled.
3. Equipment for Hire
The Event Company agrees to hire the Party Supplies/Equipment to the Client as per the Order.
4. Hire Amount
The amount of the Party Supplies/Equipment can be found on the official Order.
5. Payments and Deposit
i) Full payment is required at the time of Booking to secure your date. Requests are on a first come, first served basis and Confirmation will only be sent once full payment is received from the Client.
ii) Deposit
A refundable deposit will be taken at the time of booking in addition to the amount stated in clause 5. All deposits will be returned in 3 - 5 working days. The Event Company may use the deposit to cover any amounts due under this Hire Agreement
6. Hire Duration
i) The party supplies/equipment will be delivered via courier on a Thursday or a date pre agreed and collected via courier on a Monday, the Client will have use of the party supplies/equipment for a total of 3 days. Any change in delivery or collection days will need to be communicated via email NOT Text message and agreed by The Event Company at the time of Booking.
ii) Extended periods of hire for party supplies/equipment are not permitted unless pre-arranged with The Event Company. This will incur additional charges which must be agreed between The Event Company and the Client before delivery.
7. Late Return
If the party supplies/equipment are returned after the hire period ends, the Client agrees to pay The Event Company £ __20_________________ per day beyond the end of the hire period until the party supplies are returned. The Event Company reserves the right to deduct the charges from the deposit.
8. Insurance
No insurance is required for the party supplies/equipment under this Hire Agreement.
9. Equipment Care
It is agreed that the party supplies/equipment will be used in a proper and careful manner consistent with The Event Company’s instruction (see care leaflet) and for the purpose intended.
10. Damage or loss
The Client is responsible for risk of theft, damage, loss or destruction of the supplies/equipment from any and every cause. If, while in the Client’s possession, the party supplies/equipment become lost, or damaged, the Client agrees to pay The Event Company for all costs of repair or replacement up to the current value of the party supplies/equipment.
11. Party Supplies/ Equipment
A detailed contents list will be provided on receipt of payment and on Confirmation of the Booking.
It is the responsibility of the Client to use the checklists provided by The Event Company and ensure that all party supplies/equipment are accounted for at the time of delivery and before collection. The Client must ensure that the supplies/equipment are packaged correctly (see care leaflet).
The Client will be required to sign for receipt of the party supplies/equipment on delivery.
12. Ownership of Party Supplies/Equipment
It is agreed that all party supplies/equipment and decorations that are included in The Event Company’s inventory shall remain the property of The Event Company
13. Set-up
There is no set-up included in this Hire Agreement and will be the sole responsibility of the Client.
14. Cancellations
i) Cancellation by the Client:
In the event that the Client cancels the Booking, the Client agrees to inform The Event Company immediately in writing to: mypartyinaboxuk@gmail.com before the supplies/equipment are due to be collected from The Event Company.
Cancellations via text message will NOT be accepted. If for any reason the late cancellation incurs a charge, this will be deducted from the Client’s Deposit
ii) Cancellation by The Event Company:
If The Event Company cancels your booking due to illness or unforeseen circumstances the Client would be given a full refund. This will be confirmed in writing via email.
